Room Bookings
Room Booking for Clubs
When a club becomes affiliated to the Students’ Union, it gains privileges such as free access to Union meeting rooms and most University venues.
Booking Union Meeting Rooms
The Union has 2 meeting rooms which hold roughly 15-20 people. To place a booking for Union meeting rooms please come to the Union office reception or contact theunion@stir.ac.uk mentioning which society you are a committee member of, as well as exact times, date and purpose of the meeting. If you do book online please send the email using your university email account, for identity verification purposes.
Booking University Venues
In order to place a booking for any University venue (room, lecture theatre or Atrium stall) you will need to download a Room & stall booking form and email to theunion@stir.ac.uk with 72 hours notice from the date for which the booking is needed. (If you need a room for Thursday you will need to email the form anytime on Monday).
Also, bear in mind that following the procedure above will not guarantee a booking, as this will be subject to room availability. On occasions your preferred room might not be available at the requested time and you might need to compromise.
Last but not least, please bear in mind that the University and the Union will not tolerate vandalism in any of their venues and this might result in your club being disaffiliated.
Similarly, we ask clubs to clean up after themselves when using Union or University venues, leaving the venue in a decorous state as an act of courtesy toward the next occupants.
Finally, Please be aware that the following activities are not permitted on University premises:
1. Alcohol consumption
2. Raffles or any activity which requires a gambling license
3. Sales of food and/or drink items
